The Position

The Office Manager is responsible for ensuring the smooth operation of the office environment. This role involves managing administrative tasks, coordinating office activities, and providing support to staff and management. The Office Manager acts as the central point of contact within the office and is essential for maintaining an efficient and productive workplace. In addition, this position includes Executive Assistant duties, providing high-level support to senior leadership by managing schedules, communications, and confidential matters.

What You Will Be Doing

Administrative Support:

  • Oversee day-to-day office operations.

  • Manage office supplies inventory and place orders when necessary – vendor management.

  • Maintain office equipment and arrange for necessary repairs or replacements.

  • Handle incoming and outgoing correspondence, including mail, emails, and phone calls.

  • Organize and schedule meetings, appointments, and travel arrangements.

Executive Assistant Support:

  • Provide executive-level support to senior leaders, including calendar management, meeting coordination, and travel planning.

  • Prepare agendas, presentations, and meeting materials.

  • Handle confidential and sensitive information with discretion.

  • Draft and manage correspondence on behalf of leadership.

  • Assist with time management by prioritizing requests and tasks.

  • Coordinate and follow up on action items from meetings.

Office Coordination:

  • Liaise with other departments and external partners to coordinate office activities.

  • Ensure office layout is functional and presentable, managing any required changes or upgrades.

  • Coordinate with IT support to manage office technology needs and assets inventory.

  • Supervise office cleaning and maintenance to ensure a tidy and safe work environment.

Financial Duties:

  • Manage office budgets, including tracking expenses, processing invoices and payment registration.

  • Assist in payroll processing and employee expense reports.

Compliance and Safety:

  • Ensure the office complies with all relevant health and safety regulations.

  • Monitor office security protocols.

  • Maintain confidentiality of sensitive information and ensure compliance with data protection policies.

Event Planning:

  • Organize office events, including meetings, conferences, and staff celebrations.

  • Coordinate logistics for corporate events, such as venue booking, catering, and transportation.

What We Need From You 

  • Strong organizational, multitasking abilities, and attention to detail.

  • Excellent communication and interpersonal skills.

  • Proficiency in Microsoft Office Suite and office management software.

  • Basic accounting knowledge and budget management skills.

  • Ability to work independently and handle confidential information with discretion.

  • Experience supporting senior-level executives is a strong advantage.

  • A bachelor’s degree in business administration or a related field is preferred.

  • Minimum of 3–5 years of experience in office management, executive assistance, or a similar role.
